Challenge of the recruitment project
Volume technical hiring
After raising $8m in Series A round, Brainbase was set to go through an intense growth phase in Estonia, where they wanted to establish their technology hub. The main challenge of this project was finding candidates with the right technical background, mainly developers with experience in PHP and Angular language. It was also important to distinguish candidates who’d be able to work in a startup environment.
Hiring process
The project has seen our recruitment partners Marleen, Heveli, Helen and Neila work closely together with the Brainbase team.
Essentially, we have taken the role of an internal recruitment partner. From the founders, we have received input about the roles and types of people that they need. From there, we have had meetings with the corresponding team leaders to map out the candidate profile.
Our main responsibilities have been headhunting candidates from various channels, conducting initial screenings, as well as assisting with first-round interviews.
Our focus has been on sourcing technical talent from the Polish and Estonian markets. When hunting down talent, it has been key for us to identify candidates that have experience of working in high-growth startups.
Once suitable candidates have been tracked down, we’ve conducted screenings with the aim of understanding their motivations and assessing their cultural fit with Brainbase.
Due to the high hiring volume, most of the time, we have worked on multiple roles at once. We even held a sourcing hackathon at the Brainbase office in Tallinn.
Taking into account the busy nature of a high-growth company, we have also assisted founders with tasks to enhance the candidate experience, such as preparing offer documents and advising them with employee onboarding.

1. 30+ technical hires in a year
We’ve helped Brainbase grow their small Tallinn-based team of 6 people to 38 employees. They’ve established their technical base in Estonia, where we’ve hired many key roles, such as the Lead DevOps, Engineer Lead, and Head of Information Security.
2. Hired a People and Culture Manager
For the two hubs to work together efficiently, as well as to onboard new employees faster, we successfully hired a People and Culture Manager for Brainbase in Tallinn, Estonia.
3. Improved the candidate experience
We went over and above to ensure Brainbase provided a good recruitment experience to their candidates. Whether it was helping founders send out contracts or contributing to their onboarding plan, we were always ready to assist our client beyond recruiting.
